Deal-flow
Applications: From First Lead to Funded
An application is one funding request from one business: its answers, its owners, its documents and their analysis, its messages and its signatures. Open Applications in the sidebar to see every application of every business you can open.
A business has one open application at a time. When that one is marked Funded or Lost, the business's next documents start its next application, numbered #2, #3 and so on.
Who sees what
- The Owner and Admins see every application.
- A Manager sees their own applications and their team's.
- A Member sees the applications they were given access to. More on roles and access
Statuses, sending to partners and offers are part of the Deal-flow add-on. Without it, applications still collect documents and analysis, and Send to partners offers Add Deal-flow.
Where applications come from
| Source | How it starts |
|---|---|
| Portal | Your client clicks Apply for funding on your client portal. |
| Webapp | Click New application in Applications, or upload documents for a business with no open application. |
| API | Your website or lead source creates it through the Applications API. See the API Reference |
| A broker emails it to your applications address (Deal-flow Plus). See Applications from brokers | |
| Salesforce | Statements analyzed from your Salesforce org. See the Salesforce integration |
Starting one by hand: click New application and choose the business. If it already has an open application, you're offered Open application #N instead. For a business you don't have yet, click New business.
The next application for a business: it starts with the details of the last one: the business details, the answers to your form's questions, the owners, and the documents you tick, already analyzed. Signatures, document requests and messages are not copied. You can email the owners right away or choose Don't email now — I'll send it later. Click Create application.
The Applications list
Filter by status with the chips at the top (All, Open, Awaiting signatures, Signed, Submitted to partners, Offer selected, Funded, Lost), by Source, or by who it's Assigned to. Search by business, DBA, the last 4 of the EIN, or an owner's name or email.
Each row shows the business and owners, status, source, who it's assigned to, how many documents it has, and the average monthly true revenue. Export CSV downloads the list.
Needs review collects applications that don't belong to a business yet, like a statement whose business couldn't be matched. Click Link to business to file it.

Changing the status by hand
Click Change status at the top of the application:
- Submitted to partners: for a signed application you sent to partners outside ClearStaq. It stays open for documents and messages. Click Mark submitted.
- Funded: the deal closed. Click Mark funded.
- Lost: pick why: All partners declined, Declined by us, Merchant withdrew, Broker withdrew, Went elsewhere, Not a fit, Duplicate or Other. Add a note if you like; it's required for Other. Click Mark lost.
Funded and Lost close the application: it can't be reopened, and new documents for the business go to its next application.
Funded through a partner: on the Partners tab, use Mark funded on that partner's send. It asks for the Funded on date and the Amount funded, and can withdraw the application from the partners still open.
Working an application
The application page has the analysis tabs you know (Overview, Income Analysis, Advance History, Transactions, Documents, Fraud), plus Partners (once the application is signed or sent) and Messages.
On the Overview:
- Portal questions and Application form: what the client answered.
- Signatures: who signed, the Signature requests still open, and the Signed PDFs.
- Change history: every change to the answers, and who made it.
- Notes: internal notes for your team. Click Add Note, then Post.
Edit application changes the name, sector, address and who it's Assigned To.
Asking the client for documents
Click Send document request. Tick the Documents to request, Add a note (optional), and check the Email preview. Tick Ask to review and sign if the owner should also review the application, correct anything that changed and sign it. Click Send request.
The client gets an email and sees the request in your client portal. Whatever they upload lands in the Documents tab, under Client portal files.
Messaging the client
The Messages tab is a conversation with the client on this application. Write in Write a message… and click Send. You can attach up to 5 files (PDF, PNG or JPEG, 10 MiB each).
The client gets a "New message from" your company email, with a View messages button, and answers from your portal. Their replies appear here, and your team gets a "New message from your client" email. You can see when the client has read yours: Seen by the client.
Sending to partners
When every owner has signed, Send to partners sends the application and its documents to the lenders you work with, and the Partners tab tracks their answers and offers. More on partners and offers
