How ClearStaq collects, processes, and protects your information, including sensitive financial documents.
Last updated: October 12, 2026
ClearStaq ("we," "our," or "us") is committed to protecting your privacy and the privacy of the individuals whose financial data you process through our platform. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our AI-powered bank statement parsing, fraud detection, income verification, tax return parsing, and financial analysis services (collectively, the "Service").
ClearStaq processes sensitive financial information, including bank statements and tax returns that contain Nonpublic Personal Information ("NPI") as defined by the Gramm-Leach-Bliley Act (GLBA). We take this responsibility seriously and have designed our data processing pipeline to minimize data exposure and maximize security.
By using ClearStaq, you agree to the collection and use of information in accordance with this policy. If you are using ClearStaq on behalf of an organization, you represent that you have the authority to accept this policy on behalf of that organization.
When you create an account, we collect:
When you subscribe to a paid plan or purchase Boost Packs, payment information (credit card number, billing address) is collected and processed directly by our payment processor, Stripe, Inc. ClearStaq does not store card numbers or other card details on its own servers; Stripe holds them.
We automatically collect information about how you interact with our Service, including:
When you contact our support team or communicate with us via email, we collect the content of those communications along with any metadata (e.g., timestamps, email addresses).
ClearStaq's core service involves processing sensitive financial documents. This section details exactly how we handle these documents at each stage.
You may upload the following document types for analysis:
Upload
Your PDF is transmitted over an encrypted (TLS) connection and stored in our production Supabase project under your organization's original-file retention setting.
Parsing
Our parsers, running on Fly.io, extract structured data from the document (transactions, balances, account details, and fraud signals), using OCR for scanned pages. While a document is being parsed, a copy may be held in Upstash's managed Redis for up to one hour. When our deterministic parsers cannot read a document, it can be sent to Google's Gemini API to be parsed.
Structured Output
Extracted data is formatted into structured results (JSON/dashboard) and made available to you through the web application or API.
Original File Retention
Original uploaded files (PDFs and images) are kept until your account is deleted, unless your organization selects a retention period in Settings → Profile → Document retention (30 days, 90 days, 6 months, 1 year, 2 years, 5 years or 7 years). Original files are then permanently deleted from storage, but only after an email warning to your organization's owners and admins at least seven days earlier. Owners and admins can also delete a document's original file at any time. Deleting an original file does not delete the document, its extracted data, analyses or transactions.
| Data Type | Stored? | Duration |
|---|---|---|
| Original files (PDFs and images) | Yes, until permanently deleted from storage | Until account deletion, or for the period your organization selects in Settings → Profile → Document retention (30 days to 7 years) |
| Parsed/extracted data | Yes | Until you ask us to delete it |
| Fraud detection results | Yes | Until you ask us to delete it |
| Processing metadata (timestamps, credit usage) | Yes | Until you ask us to delete it |
ClearStaq offers an app inside ChatGPT that returns a short summary of a business bank statement. You do not need a ClearStaq account to use it. This section explains what happens to your information when you use the app, in addition to the rest of this policy.
ClearStaq never stores or logs the OpenAI identifier or your IP address as received. The app immediately turns it into a short code with a one-way keyed hash (HMAC-SHA256, using a secret key held only on our server) and keeps only the first sixteen (16) characters. Without that secret key, the code cannot be linked back to your OpenAI identifier or IP address. We call it the "hashed identifier" below. It stays the same each time you use the app, and it is used only for the usage limits, server logs, link clicks, and sign-up attribution described in this section.
Only a summary is returned: bank name, last four digits of the account number, statement period, total inflows and outflows, deposit count, average daily balance, ending balance, number of NSF (non-sufficient funds) items, number of negative-balance days, number of merchant cash advance (MCA) positions, a risk tier derived from those counts, and a link to ClearStaq. Once returned, the summary is part of your ChatGPT conversation and is handled by OpenAI under OpenAI's Privacy Policy.
To keep the free app available, each user can run a limited number of free analyses per day (currently three), and the total number of analyses across all users is capped per minute and per day. Only the analysis of a valid PDF counts. These counts are kept against your hashed identifier in Upstash, a managed Redis service, and expire automatically within about twenty-five (25) hours. So that ChatGPT's repeated request for the same upload is counted only once, the app also keeps, for two (2) minutes, a marker made from a one-way hash of your hashed identifier and the file reference.
cs_signup_context for up to thirty (30) days (it is cleared when your account is confirmed) and is then stored on your organization and in your account's sign-up details, so we can tell that the sign-up came from the ChatGPT appUsage-limit counts expire automatically within about twenty-five (25) hours, and the repeat-request marker after two (2) minutes. The usage counter and link-click records have no automatic expiry. We keep them until they are deleted, for product analytics (counting how the app is used and how many sign-ups it leads to). The hashed identifier used for sign-up attribution is kept with your account information for the period described in the Data Retention section.
We use the information we collect for the following purposes:
The financial documents processed through ClearStaq may contain Nonpublic Personal Information ("NPI") as defined by the Gramm-Leach-Bliley Act (GLBA), including but not limited to:
As a service provider processing NPI on behalf of our customers, ClearStaq commits to the following:
If you are a financial institution subject to GLBA, you acknowledge that you are the data controller and are responsible for providing required privacy notices to your customers. ClearStaq acts as your service provider/data processor.
We do not sell your personal information or NPI. We never have and we never will.
We share information only with the following categories of recipients, and only to the extent necessary:
